  • How do I activate preprogrammed auto-attendant scripts for my phone?

    1. You first need to add the extension information for your account. An account needs both an Extension Group and the actual Extensions in order to forward your calls.
      1. Extension Groups are created in your Accout Dashboard under Exstensions > Manage Extension Groups.

        View Screen Sample

      2. Extension Groups are created in your Accout Dashboard under Exstensions > Manage Extension.

        View Screen Sample

Extensions numbers must be in the format of 1001, 1002, 1003, and so on. Each preprogrammed script will forward based on these exntesion numbers. The script however is programmed to ask customers to press 1 for X (which forwards to Ext 1001), 2 for Y (which forwards to Ext 1002), etc.

While the extension numbers that need to be dialed are fixed for the pre-programmed script, the department name that the customer hears which is associated with that extension depends on the audio file being used. If you use a custom audio file you can customize the name of the department/person that the customer is asked to dial for a particular extension. If you choose the default audio file, the default extension names will be used (as specified in the script description which is viewable when you hover over the icon next to the script).

    2. If you have uploaded a Custom Audio File (Under Manage Services > Account Audio Files in the "Manage Custom Audio Files" section) then choose "Custom" under the "Greeting Message Type" field and then choose the custom audio file that you would like to use from the dropdown in the "Choose Custom Greeting" field.

This is the message that your customers will hear when they dial your number.

    3. Finally you need to choose the actual pre-programmed script to use for a particualr DID (phone number). This is done in your Accout Dashboard under Manage Services > Call Forwarding..

Choose the DID Number from the top and under the Default Rules tab in the IVR Script Forwarding Options section, choose the pre-programmed Auto-Attendant Script that you would like to use for the number then press "Save All Settings".

      View Screen Sample

Your Auto-Attendant feature is now active. Customers will hear the greeting message and will be forwarded based on the choices they make in the menu to the account extensions you set up.
